Posting Summary:
We are seeking a highly organized and detail-oriented Academic Secretary to support the Communication, Media, and Learning Technologies Design (CMLTD) Program. This role involves assisting faculty, managing program logistics, processing budgets, and coordinating events within a dynamic and tech-focused academic environment. Ideal candidates will have strong communication skills, experience with administrative tools, and a keen interest in educational technology.

Job Summary/Basic Function:
Areas of study within the MST Department include three programs: (1) Communication, Media, and Learning Technologies Design, (2) Mathematics Education, and (3) Science Education. Twenty-two full-time and approximately twenty-eight part-time faculty instruct and advise more than 600 students enrolled in these programs. Department support staff, supervised by the Director of Academic Administration, includes a Department Secretary, Program Manager, and three Academic Secretaries.

The Academic Secretary hired for this position will work in the Communication, Media, and Learning Technologies Design (CMLTD) Program. The CMLTD Program has 10 full-time faculty and 17 part-time adjuncts and instructors.

CHARACTERISTIC DUTIES AND RESPONSIBILITIES:
Assist Program Co-Directors, Director of Academic Administration, faculty, adjuncts, and instructors;
Assist in the maintenance and processing of program's budget;
Process reimbursements and coordinate/facilitate program-related payments;
Process departments' invoices under guidance of Director of Academic Administration;
Assist with faculty and staff appointments;
Assist in arranging and maintaining course schedules and classroom assignments;
Collect and publish semesterly office hours of faculty, adjuncts and instructors;
Coordinate and arrange meetings and schedule appointments;
Manage computer/media lab (scheduling, acquisition of equipment, inventory of equipment, basic resource support);
Perform cursory academic and purchasing research on the internet as requested;
Compose correspondence and emails;
Maintain departmental/program files and records;
Duplicate and/or scan department/program and class materials;
Assist with certification examinations;
Maintain and update Program website;
Provide department information to prospective students; answer phones, reception (322 Thompson and in the Department Office as necessary); update the department directory as needed;
Assist with work-study students;
Maintain and order office supplies;
Submit maintenance work requests;
Pick up and distribute mail;
Assist with various college / department events (e.g., Newly Admitted student weekends, Orientation, Commencement, etc.)
Other related duties as assigned by Program Co-Directors and/or Director of Academic Administration.

Minimum Qualifications:
High School diploma or GED;
Minimum two years recent, full-time secretarial experience;
Excellent communication / interpersonal skills;
Flexible, detail oriented and highly organized;
Experience (beyond the basic level) utilizing Google Docs, Sheets, Drive, MS Office, and email is crucial;
Good proofreading and grammar;

Preferred Qualifications:
College degree (either Associate’s degree or Bachelor’s degree);
Knowledge of Teachers College procedures and systems (e.g., BANNER);
Knowledge of -- and interest in -- technology, including online platforms (social media, online publishing, etc) and other learning technologies, in line with the program's focus
